SortedCrew (“SortedCrew”, “we”, “us”) makes an app and website that help cleaning businesses manage jobs, staff and invoices. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains what we collect, why, and the choices you have.
Who this policy covers
- Business owners and admins who sign up a cleaning business.
- Cleaners and supervisors who use SortedCrew as part of their work.
- Clients of cleaning businesses, whose details and property photos are stored in SortedCrew.
- Website visitors and people who join our waitlist.
When a cleaning business uses SortedCrew, that business decides what information about its staff and clients goes into the app. We store and process it on the business's behalf. If you are a cleaner or client with a question about your information, you can contact the cleaning business or us.
What we collect
Account and business details
Names, email addresses, phone numbers, business name, ABN, billing details and the roles of people in your team. Card payments are handled by our payment provider; we don't store full card numbers.
Location at clock-in and clock-out
When a cleaner clocks in or out, the app checks their device's location against the job address (geofencing) and records the location and time. We only collect location at those moments. SortedCrew does not track staff continuously, between jobs or outside work. Cleaners control location permission in their phone settings.
Photos taken inside clients' homes
Before and after photos are a core part of SortedCrew. They are taken inside private homes, apartments and other properties, so we treat them with extra care:
- Photos are linked to a job and visible only to the cleaning business's team and, if the business shares a link, to that job's client.
- Each photo stores the time it was taken and the job it belongs to.
- We ask cleaners to photograph surfaces and rooms only, and to avoid people, pets, mail, documents, screens, family photos and anything else personal. Businesses are responsible for telling their clients that photos are taken as part of the service.
- We don't use photos for advertising, and we don't sell them or use them to identify people.
- A business can delete photos at any time, and clients can ask the business or us to delete them.
Job and work records
Job addresses, checklists, inspection results, notes, timesheets and invoices created in the app.
Waitlist and contact
If you join the waitlist we collect your email, type of cleaning business and team size. If you contact us we keep the messages so we can help you.
Technical information
Device type, app version, crash reports and basic usage data, so we can keep SortedCrew working and fix problems. Our website doesn't use advertising cookies.
How we use it
- To run the app: clock-ins, photo logs, checklists, inspections and invoices.
- To give clients access to their job photos when a business shares a link.
- To bill you for your plan.
- To provide support and tell you about important changes to the service.
- To tell waitlist members about our launch and offers. You can unsubscribe at any time.
- To keep SortedCrew secure and prevent misuse.
We don't sell personal information.
Who we share it with
We share personal information only when we need to, with:
- the cleaning business you work for or have booked, and its team;
- service providers that help us run SortedCrew, such as cloud hosting, email delivery and payment processing;
- professional advisers, or authorities where the law requires it.
Some of our service providers may store or process information outside Australia, including in the United States. Where that happens we take reasonable steps, as required by APP 8, to make sure they protect it in a way that is consistent with the APPs.
How we keep it secure
Information is sent over encrypted connections (HTTPS) and stored with reputable cloud providers that encrypt data at rest. Access inside SortedCrew is limited by role, so cleaners see only their own jobs and clients see only the photos shared with them. Within our team, access is limited to people who need it to run and support the service. No system is perfectly secure; if a data breach is likely to cause serious harm, we will notify affected people and the OAIC under the Notifiable Data Breaches scheme.
How long we keep it
We keep information while a business's account is active. If a business closes its account, we delete or de-identify its data within a reasonable time, except where we must keep records (for example, tax records for invoices) by law. Waitlist details are deleted if you unsubscribe or if we don't launch to you within two years.
Accessing and correcting your information
You can ask to see or correct the personal information we hold about you, or ask us to delete it, by emailing hello@sortedcrew.com. We'll respond within 30 days. If your information was added by a cleaning business, we may refer you to them first.
Complaints
If you have a privacy concern, email us and we'll try to resolve it. If you're not happy with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
Changes
We may update this policy as SortedCrew grows. We'll post the new version here and, for significant changes, let account holders know by email.
